WayCool follows all security and privacy rules pertaining to HIPAA requirements. We utilize the services of Van Rein Compliance to ensure HIPAA compliance and meet with them monthly to discuss changes and any required updates. We also meet on an annual basis for a “deep-dive” into our security and protocols.

In addition, WayCool Software also provides:

  • BAA WayCool Software offers a Business Associate Agreement, at NO CHARGE
  • Unlimited users Role-based, granular security options for read-only, update, delete actions across the board
  • IP Security CoolFocus includes the option to utilize a list of approved Device IP Addresses to limit access to only those devices
  • MFA Multi-Factor Authentication is utilized
  • Audit Log We also include a FULL AUDIT TRAIL HISTORY on all Client AND Donor AND Volunteer records listing any VIEWS, EDITS or UPDATES with pre- and post-update values, along with a User Login/Logout history

Backups

Replicas – Our data center keeps 1 primary version of the database along with 2 secondary synced in case of a local emergency or hardware failure. This is managed by Microsoft to ensure high reliability. We also utilize our secondaries for reporting and other high “read-only” functionality. This provides better performance in addition to redundancy. Backups are used for disaster recovery purposes, meaning something major happened at our data centers and had to be restored. This covers major natural disasters at a data center. This is also a requirement for HIPAA compliance.

Backups can be a little more confusing because they are ideal for times when major issues arise. This gives us critical restore points over time. Backups are kept in the following increments:

  • 35 Day Point in Time – We keep backups for 35 days timestamped to the millisecond. This allows us to restore data to any point in time in the past 35 days. These are our first line of backups for support of the most common types of issues that would require a reload of specific data.
  • 5 weeks of Weekly backups – We keep the first day of every week for 5 weeks.
  • Monthly Backups – We keep for 6 Months
  • Yearly backups – We keep for 10 yrs.
